This notice explains how Ultra collects, uses and protects your personal information when you visit our site. We are committed to safeguarding your privacy and handling your data in line with UK GDPR and the Data Protection Act 2018.
Who controls your data
Ultra is the data controller for the information collected through this portal. We determine how and why your data is processed. For questions about this policy or to exercise your rights, contact us at [email protected].
What information we collect
We gather two categories of data: information you provide directly, and information we observe automatically.
Information you give us: When you submit a contact form or sign up for updates, you provide your email address and any message content you choose to include. We collect only what you enter into those forms.
Technical data: Like most websites, we automatically log your IP address, browser type, device information, operating system, and the pages you visit. This helps us understand how the site is used and improve its performance. We also use cookies – small text files stored on your device – for analytics and site functionality. See our cookie policy for details on what cookies we set and how to manage them.
Third-party services
We use Google Analytics to measure traffic and user behaviour. Analytics providers receive anonymised data about visits and page views, but they do not have access to any personal details you submit through contact forms.
Why we process your data
We use your information for specific, legitimate purposes:
- To respond to enquiries you submit through our contact form
- To maintain and improve the site's functionality
- To analyse traffic patterns and understand which content is most useful
- To comply with legal obligations where required
Legal basis for processing
Under UK GDPR, every use of personal data requires a lawful basis. Ours are:
- Consent: When you submit a contact form or accept non-essential cookies, you consent to our processing that information for the stated purpose
- Legitimate interests: We have a legitimate interest in running a functional website and understanding how it is used, provided that interest does not override your rights
- Legal obligation: In rare cases we may be required to retain or disclose data to comply with UK law
Who we share data with
We do not sell your information to third parties. We share data only where necessary to operate the site or comply with the law.
Service providers: We use hosting and analytics services that process data on our behalf. These providers act as data processors under contract, meaning they handle your information only according to our instructions and cannot use it for their own purposes.
Legal disclosure: We may disclose information if required to do so by law, or in response to valid legal requests from UK authorities.
Your rights under UK GDPR
You have the following rights regarding your personal data:
| Right | What it means |
|---|---|
| Access | Request a copy of the personal data we hold about you |
| Rectification | Ask us to correct inaccurate or incomplete information |
| Erasure | Request deletion of your data where there is no compelling reason to keep it |
| Restriction | Ask us to limit how we use your data in certain circumstances |
| Portability | Receive your data in a structured, commonly used format to transfer elsewhere |
| Object | Oppose processing based on legitimate interests or for direct marketing |
| Withdraw consent | Remove consent for processing that relies on it, without affecting prior lawful use |
How to exercise your rights
To make a request, email [email protected] with details of what you would like us to do. We will respond within one month. There is no fee for most requests, though we may charge a reasonable amount if a request is clearly unfounded or excessive.
If you are not satisfied with how we handle your request, you have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's data protection authority. Visit ico.org.uk or call their helpline on 0303 123 1113.
Data retention
We keep your information only as long as necessary for the purposes described above. Contact form submissions are retained for up to two years unless you request earlier deletion. Technical logs and analytics data are held for 26 months, in line with Google Analytics defaults, then automatically purged.
Protection of minors
This site is intended for adults aged 18 and over (18+). We do not knowingly collect personal information from anyone under 18. If you believe we have received data from a minor, contact us immediately at [email protected] and we will delete it.
Changes to this policy
We may update this privacy notice from time to time to reflect changes in our practices or legal requirements. When we do, we will post the revised version on this page with a new "Last updated" date. Significant changes will be highlighted at the top of the notice.
